Set up your company
The first things to do in Simply OnSite: your company details, what quotes and invoices start with, your prices and your team.
For owners
Start with the setup checklist
Until your company is ready, your Home page shows a setup card named after it, for example "Get Rivera Heating ready".
- Sign in and click Home in the menu.
- Find the setup card near the top. It shows how many of its seven steps are done, and about how long the rest will take.
- Click the button beside a step to go straight to the place to do it: Add details, Set defaults, Upload logo, Add customer, New quote or Invite.
- Come back to Home when you're done. Each step ticks itself off once the work is really done, such as a quote emailed to a customer.
- Click Hide for now to fold the card away, and Show to bring it back.
- Only Administrators see the card. It goes away for good once all seven steps are done.
- The last step, A technician signs in on the mobile app, waits on your technician. While they haven't accepted their invite, it offers Resend invite.
Add your company details and logo
Your company name, address, phone and logo go at the top of every quote and invoice.
- In the menu, under Setup, click Settings.
- Click Company Profile, then fill in Company name, Phone and your address.
- Click Save changes.
- Click Branding, then drag your logo onto the box, or click Choose image.
- The logo can be a PNG, JPG or WebP file up to 1.5 MB. It saves as soon as it's uploaded.
- Both tabs show a preview of how the top of your quotes and invoices will look.
Set what every quote and invoice starts with
- In Settings, click Quotes & Invoices.
- Enter your Default tax rate (%).
- Enter your Payment terms (days). The due date is the issue date plus this many days, and 0 means due on receipt.
- Enter how many days quotes are good for in Quotes valid for (days).
- Click Save defaults.
- New quotes and invoices start with these, on the website and in the phone app. You can still change them on each one.
- Next, click Customer messages and fill in Replies go to, so customers' replies to your quotes and invoices reach your inbox. The same tab picks the automatic emails and texts customers get. The customer messages guide explains them.
- If your technicians will clock in and out on their phones, click Time Tracking and tick Enable employee shift & attendance time clock.
Try it with sample data
Want to look around before you add your own work? Sample data fills the app with a few made-up records that you can take away again in one click.
- On Home, click Try it with sample data on the setup card.
- Click Add sample data.
- Look around. Sample customers, jobs, quotes and invoices show on Home, on the Calendar and in the lists, each marked (sample).
- When you're done, click Remove sample data on the setup card, then Remove.
- Nothing is emailed or texted to anyone from sample data.
- The card shows Sample data on while it's there. Sample records never tick off a setup step.
- Removing sample data leaves your own records as they are.
Add your price list
- In the menu, under Setup, click Items.
- Click New Item and add a service or part you sell, with its price.
- Repeat for the things you sell most. You can add more any time.
- Your items are there to pick from when you add lines to a quote or invoice. The price list guide covers it in full.
Bring in your team
- In the menu, under Setup, click Employee Management.
- Click Add Employee, fill in their name and email, and pick their Roles.
- Click Create Employee. They get an email inviting them to choose a password.

- Technicians work their jobs in the phone app. The technician app guide shows what they'll do.
Open Home Open Settings Open Items Opens Simply OnSite. If you aren't signed in, you'll sign in first.
