Add and find customers
Add customers, find them in seconds, and start jobs, quotes and invoices from their page.
For owners, office staff and dispatchers
Add a customer
- Open Customers and click Add Customer. Or click the + button at the top of any page and choose New Customer.
- Pick Residential or Commercial.
- Fill in First Name and Last Name, and Company for a business.
- Add their Phone, Cell and Email.
- Tick OK to text only if they agreed to texts about their appointments.
- Add a Service Address if you have one. It becomes their default address for jobs, quotes and invoices.
- Click Create Customer.
- The new customer opens in the panel on the right of the list.
- Booking a job for someone new? Click + New customer in the job form instead. It saves the customer and the job together.
- Technicians can look customers up but can't add or change them.
Find a customer
- On Customers, type in the search box at the top. It searches names, companies and phone numbers.
- Click Commercial or Residential to see only that kind, or All for everyone.
- Click a customer to open their details in a panel on the right, with Overview, Quotes, Invoices, Jobs and History tabs.
- Double-click a customer to open their full page.
- From anywhere in the app, press Ctrl+K (⌘K on a Mac) or click Search… at the top. Type a name, company, email or phone number and pick the customer.
- Ctrl+K finds a phone number however you type it: "(507) 722-5892", "507.722.5892" or "+1 507 722 5892".
Use the customer page
The customer page keeps everything about them in one place.
- Use Call or Email at the top to reach them.
- Click Edit to change their details, including OK to text, then click Save.
- Under Addresses, click Add to add another place you work for them, or Set Default to change which address new work uses.
- Open the Jobs, Quotes and Invoices tabs to see their work, and History for everything, newest first.
- On the Notes tab, type a note and click Add Note.
- Give each address a Location Name, like "Main Office" or "Job Site", so you can tell them apart.
- The money at the top (Lifetime, Outstanding, Paid YTD) and the Quotes and Invoices tabs show only for people whose role includes money.
Start work from a customer
- Open the customer's page.
- On the Jobs tab, click Add. The job form opens with this customer already picked.
- On the Quotes or Invoices tab, click Add to start a quote or an invoice for them the same way.
- Fill in the rest and save.
- In the panel on the Customers list, the same buttons are + New Job, + Quote and + Invoice.
- You only see the buttons for work your role can create.
