Schedule a job and send a technician
Book a job in one form, place it on the Calendar and get the right technician there.
For dispatchers and owners
Start a job and pick the customer
Every job is booked in the same form, wherever you start it.
- Click Add Job on the Jobs page, New Job on the Calendar, or the + button at the top of any page and then New Job.
- Under Customer, search by name, phone or email and pick the customer.
- Check the Service address. Their default address is picked for you. Choose another, or click + New address to add one.
- Fill in What needs doing, for example "Replace water heater".
- Add a Note for the technician if they need a gate code, parking details or a list of what to bring.
- Someone new? Click + New customer and fill in their details. The save button becomes Create Customer & Job and saves both at once.
- If the phone, email or name is already on file, the form tells you who has it. Click It's someone else to keep the new customer, or the button with their name to book the job for them instead.
- The note shows on the job and on the technician's phone.
Pick a day and time
- Under When, click Today or Tomorrow, or pick a Date.
- Set the Start time.
- Under How long, pick 1 hr, 2 hr or 4 hr. The form shows when the job ends, for example "Ends 11:00 AM".
- For any other length, click Custom and set Ends.
- No date yet? Tick Schedule later. The job waits in Needs scheduling on the Calendar until you give it one.
- A new job starts on the next weekday at 9:00 AM and runs 2 hours. Change whatever you need.
Choose the technician
- Under Who, pick the Technician. Leave it empty to save the job as Unassigned.
- To send more people, click + Add helper and pick them under Helpers.
- If someone isn't free then, a warning shows under Who, for example "Kyle Foster is busy 9:00–11:00."
- Change the time or the person to clear it, or go ahead anyway: You can still save it.
- Click Create Job. When you're changing a job that's already booked, the button reads Save Changes.
- Helpers join the crew on the job's Team tab and see the job on their phone.
- Other warnings you may see: "… is off that day.", "That's outside …'s hours." and "… is out that day (Sick)."
- A job with nobody on it shows under Needs a technician on the Dispatcher home and in the Unassigned row on the Calendar.
- Saving a job with a date in the future can email the customer, depending on your Customer messages settings.
Move jobs on the Calendar
Open Calendar under Schedule in the menu. Each technician has a row, and jobs with nobody on them sit in an Unassigned row at the top.
- Pick a view: Agenda, Day, Week, Timeline or Month. Use the arrows and Today to move through the dates.
- Drag a job to a new time, or into another technician's row to give it to them. Drag it into the Unassigned row to take the technician off.
- Drag the edge of a job to make it longer or shorter.
- Changed your mind? Click Undo on the "Rescheduled" note that appears. It stays for about 8 seconds.
- Click a job to see its details, then Edit Job to change it or Open details for the full job page.
- To book from the Calendar, click or drag across empty time in a technician's row. The form opens with that time and that technician filled in.
- Shaded time in a row is outside that technician's working hours, or a day they don't work. You can still drop a job there, and the "Rescheduled" note tells you if they aren't free.
- Jobs saved with Schedule later are listed under Needs scheduling. Click one to give it a day and time.
- Office staff can look at the Calendar but not change it. Technicians see only their own jobs.
Dispatch from your Home page
If you dispatch, Home in the menu opens on Dispatch: the jobs that need you, and where everyone is today.
- Under Needs a technician, each job shows who's free then, for example "Free then: Kyle Foster".
- Click Assign and pick a technician. Free people are at the top, and the job leaves the list straight away.
- If you pick someone who's busy, off or out, you're asked Assign anyway? first. Click Assign to go ahead.
- Under Needs a date, click Schedule to give a waiting job its day and time.
- Today by technician shows each technician's status and a strip of their day. Click a name to open their row on the Calendar.
- At the bottom, Tomorrow sums up who has what. Click Plan tomorrow to open the Calendar.
- Statuses read like "On a job", "En route", "Free until 1:00", "Out today" or "Done for the day".
- Owners get a different Home page. A job there with nobody on it has an Assign a tech button.
Set each technician's working hours
Working hours drive the shading on the Calendar, the warnings in the job form, and who counts as free on the Dispatcher home.
- Open Work Schedule under Setup in the menu.
- Under Weekly hours, pick the Employee.
- Tick each day they work and set the start and end times. A day you leave unticked shows Off.
- Click Save schedule.
- Someone with no hours set is never shaded and always counts as free.
- Days someone is out sick or on vacation go under Time off on the same page.
