Use the technician app
Who can use the Simply OnSite phone app, and how technicians sign in, work their jobs and clock in, with or without a signal.
For technicians, and the owner who sets them up
Give someone the app
Everyone uses the app with their own account. The office sets that up on the website.
- On the website, in the menu under Setup, click Employee Management.
- Click Add Employee for someone new, or Edit for someone already on the team.
- Under Roles, pick Technician and Allow Mobile App. Add Allow Web Portal too if they should also use the website.
- Click Create Employee, or Save Changes.
- A new employee gets an email inviting them to choose a password. They sign in to the app with that email and password.
- The app follows the same roles as the website. A technician sees only their own jobs, and money shows only for Administrators and people with Quotes or Invoicing.
- The Invite button on the setup card on your Home page opens a New Employee form with Technician and Allow Mobile App already ticked.
Sign in
Your office will tell you how to get the app on your phone.
- Open Simply OnSite on your phone.
- Type your Email and Password: the ones from your invite, the same as for the Simply OnSite website. Tap Show to check what you typed.
- Tick Remember me if you want the app to fill in your email next time.
- Tap Sign in. Today opens with your jobs.
- Allow what the app asks for as you go: notifications when you first sign in, your location the first time you clock in or tap On My Way, and the camera or your photos the first time you add a photo.
- Notifications tell you about new jobs. Your location lets the office see where you are while you're clocked in, works out your drive time, and notices when you arrive.
- If you say no to something, the rest of the app still works. To use that feature later, allow it in your phone's settings.
- You stay signed in as long as you open the app now and then. Forgot your password? Tap Forgot password? on the sign-in screen.
- This account has been disabled. Contact your office. means the office has turned your account off.
Find your way around
- Tap Today for today's jobs in working order, your hours, and the time clock.
- Tap Jobs to find any other job, such as last week's or next week's. Technicians see their own jobs; office staff see every job.
- Tap Customers to look up a customer's phone numbers, addresses and notes, and to call, text or get directions.
- Tap Money for quotes and invoices. It's only there for Administrators and people with the Quotes or Invoicing role.
- Tap Me for your roles, your Timesheet, Waiting to sync, Appearance and Sign out.
- Today updates by itself when the office adds or changes one of your jobs. To refresh it yourself, pull the list down and let go.
- If a button you expect is missing, check your roles on Me and ask the office.
Work a job
- Tap a job on Today to open it. The big button at the bottom always shows the next step.
- Tap On My Way when you set off. To let the customer know, leave the text switched on, tap Text & start directions, then tap Send in your Messages app. Or tap Go without texting.
- When you get there, tap Start Work.
- Under Photos & Signature, tap Camera to take a photo, or Gallery to pick one you've taken.
- Under Notes, type in Add a note… and tap Add note.
- When the work is done, tap Complete Job. Check what's on the job, then tap Finish job.
- Hand the phone to the customer to sign and to rate the visit, or tap Skip signature and Skip.
- Already at the site? Tap Already here — start work instead of On My Way.
- The text goes from your own phone and number. Nothing reaches the customer until you tap Send yourself.
- Can't finish today? Tap More ⋯ at the top, then Put on hold or Flag for review. Tap Resume job to carry on later.
- The office sees each step on the website as soon as your phone has a signal.
Clock in and out
The shift bar shows on Today only if your company uses the time clock.
- On Today, tap Clock in on the shift bar.
- Going on a break? Tap Break, and End break when you're back.
- At the end of your day, tap Clock out.
- To check your hours, tap the shift bar, or go to Me and tap Timesheet.
- Owners turn the time clock on in Settings: click Time Tracking and tick Enable employee shift & attendance time clock.
- While you're clocked in, breaks included, the app shares your location with the office. It stops when you clock out or sign out.
- If a punch is wrong, ask the office to fix it.
Work with no signal
- Keep working. On My Way, Start Work, Complete Job, notes, photos, signatures, and clocking in and out all work with no signal.
- Look for syncing on a note, a photo or the shift bar, and Waiting to sync at the top of a job. That change hasn't reached the office yet.
- To see everything that's waiting, go to Me and tap Waiting to sync.
- Once you have a signal, it all sends by itself. To send it straight away, tap Try all now.
- If a red strip says a change couldn't be saved, tap Review, read the reason, then tap Retry or Discard.
- These need a connection: the Jobs, Customers and Money tabs, your timesheet, rescheduling, deleting a note or photo, the customer's star rating, and signing in.
- Sign out once everything has sent. If you choose Sign out anyway while changes are still waiting, they're deleted and the office never gets them.
Invite a technician Turn on the time clock Opens Simply OnSite. If you aren't signed in, you'll sign in first.
