Mark someone out
Mark a technician out sick or on vacation, and hand their jobs to someone else in the same step.
For dispatchers and owners
Say who's out and when
- Open the form: click Time off on the Calendar, the calendar icon next to a technician under Today by technician on the Dispatcher home, or Mark someone out on the Work Schedule page.
- Under Who's out, pick the technician.
- Set the First day and the Last day. For a single day, leave them the same.
- Under Why, click Sick, Vacation or Personal, or type your own reason. You can leave it empty.
- Look at Their jobs then. It lists every job they still have on those days.
- From the Calendar, the form starts on the day you're looking at. From the Dispatcher home it starts with that person, today. From Work Schedule it starts today.
- You can mark up to 60 days at a time. For longer, mark it in parts.
- Only dispatchers and owners see these buttons.
Hand their jobs on
- Each job they're the technician on has its own list. Leave it on Leave unassigned to sort it out later.
- Or pick another technician. People who are free then are at the top; the rest say why, for example "busy 9:00–11:00".
- Or pick Keep with and their name to leave the job with them.
- On jobs where they're only helping, leave Take them off the crew ticked to remove them, or untick it to keep them on.
- Click Mark out. The button counts the jobs they lead then, for example "Mark out · 2 jobs".
- You'll see "Marked out" and what happened, for example "Kyle Foster · Mon, Oct 5 – Tue, Oct 6. 1 job moved."
- A job left unassigned shows under Needs a technician on the Dispatcher home, ready to give to someone.
- If they're already marked out on any of those days, you're told, and nothing is saved.
What changes while they're out
- On the Dispatcher home their row reads "Out today", with the reason if you gave one.
- They aren't offered as free for jobs that need a technician.
- On the Calendar their row is shaded amber on the days they're out, in every view.
- In the job form, picking them for one of those days warns "… is out that day (Sick)." You can still save it.
Remove time off
- Open Work Schedule under Setup in the menu.
- The Time off card lists everyone marked out from today on, soonest first.
- Click Remove next to the time off, then Remove again to confirm.
- Jobs you already handed on stay where they are. Move them back on the Calendar if you need to.
