Set up repeating work
Book work that comes round again, like a service every 6 months, once. The visits book themselves.
For dispatchers and owners
Set up a plan
A plan is a job that repeats. Each visit it books is an ordinary job: on the Calendar, on the technician's phone, invoiced like any other.
- Start a new job as usual: New Job on the Jobs page or the Calendar, or New plan on the customer's Repeating work tab.
- Fill in the customer, the work, the first visit's date and time, and the technician.
- Under Repeats, pick how often: Every week, Every 2 weeks, Every month, Every 3 months, Every 6 months or Every year.
- For anything else, click Custom… and set Every a number of days, weeks, months or years. A monthly plan can fall on the same date ("On the 8th") or the same weekday ("On the 2nd Thursday").
- Under Ends, keep Never, or pick After a number of visits or On a date.
- Check Next visits, then click Create Job.
- Visits are booked for the next 90 days and kept topped up every hour, so a yearly plan shows its next visit once it's 90 days away.
- A visit on a day the technician is marked out is booked unassigned, and the bell tells you. Next visits flags those days before you save.
- The customer gets the usual Appointment booked message for the first visit, and the day-before reminder for every visit. The visits booked after that don't each send a booked message.
- Visits from a plan carry a repeat mark on the Jobs list, the Calendar, the job page and the technician's phone.
Change one visit, or the plan from here on
- Open the visit and click Edit.
- Make the change: a new date or time, another technician, different work, or a new pattern under Repeats.
- Click Save Changes. You're asked Just this visit or This visit and the ones after it.
- Pick one and click Save.
- Just this visit changes that visit only. The plan stays as it was.
- This visit and the ones after it makes the plan follow this visit from now on, and rebooks the later visits. Visits already done, under way, or changed on their own stay as they are.
- A visit moved on the Calendar or rescheduled from the technician's phone counts as changed on its own.
- Changing only the status, for example to Completed, doesn't ask.
Pause, resume or end a plan
- Open the customer and click the Repeating work tab.
- Each plan shows how it repeats, the technician, the Next visit and how many are Done.
- Click Pause to stop booking new visits for a while, then Resume when it should start again.
- Click End, then End plan, to stop it for good.
- Pausing or ending a plan keeps the visits already booked. Delete any you don't want from the job.
- Resuming books the visits due in the next 90 days straight away.
- A plan with an end ends by itself after its last visit.
